Position Summary
The Alumni Relations & Event Manager position is the primary person responsible for planning and executing high-profile Graduate School events and maintaining relationships with graduate alumni of the University of Georgia. Responsibilities include budget management, scheduling, planning, and implementation of high-impact Graduate School events that serve alumni, current graduate students, donors, and the public. This position will also communicate and coordinate closely with Development and Alumni Relations, as well as the offices of the President and Provost.

Serve as lead for high-profile Graduate School events, responsible for all aspects from planning through execution
Develop and manage the Graduate School event budget
Work with the dean's office and other relevant offices on campus (e.g., offices of President and Provost) to select and communicate dates for campus-wide events
Secure vendors, room reservations, catering, and decorations
Negotiate contracts with vendors and work with the Graduate School business office and procurement to complete contracts and payment
Coordinate with Director of Marketing and Communications for all event promotion (e.g., invitations, social media)
Work with Graduate School Marketing and Communications on event invitations
Manage registration process for events and data analytics post-event
Ensure that VIPs have appropriate high-touch communication and experiences
List appropriate events (open to public and/or to general graduate student/faculty/staff audiences) on UGA master calendar
Prepare event briefings for President, Provost, Dean of the Graduate School, and other upper administration attendees as appropriate
Serve as primary contact for event honorees, guest speakers, and other VIPs
Prepare venue for events and complete event breakdown as appropriate
Organize and coordinate staff and volunteers
Oversee all logistics to ensure the highest-quality events
Coordinate with Business Office to ensure invoices are paid
