Role: Senior Events Associate
Reports To: Karina Goska, Senior Event Manager
Location: London
Workplace Type: We ask all employees to work a hybrid schedule, with a minimum 2x/week in their local office. We welcome employees to utilize office space more than that where possible. This position requires global travel to events for 20-50 days per year.
The Role
As a Senior Events Associate at Procurement Leaders, you will be responsible for the end-to-end planning, management, and execution of a world-class calendar of corporate events. This role requires a highly organized, detail-oriented, and proactive individual with a proven track record of delivering successful events. You will manage multiple projects simultaneously, mentor junior team members, and serve as a key liaison between various internal and external stakeholders.
This role requires the associate to stand for 10+ hours a day while running an event, climbing stairs as needed, bending and lifting as needed onsite. You will also be required to lift and carry items weighing up to 40 lbs. This position requires 20- 30% travel, approximately 20 - 50 days per year.
Key Responsibilities
- Project Management & Execution: Lead the planning and delivery of a portfolio of corporate events, ensuring all timelines and budgets are met. This includes managing all logistics, from venue selection and vendor negotiation to on-site execution and post-event reporting.
- Vendor & Stakeholder Management: Serve as the primary point of contact for external vendors, including AV companies. You will be responsible for briefing AV teams on event requirements, overseeing technical setups, and ensuring seamless audio and visual delivery. You will also manage relationships with venues, caterers, and other key suppliers.
- Budget Management: Own and manage event budgets, tracking all expenses and ensuring cost-effectiveness.
- Team Leadership: Act as a mentor for junior team members, delegating tasks and providing guidance on event best practices. You will oversee registration processes, attendee communication, and event material preparation.
- Reporting & Analysis: Develop and deliver comprehensive post-event reports, analyzing key metrics and providing strategic recommendations for future events. You will also maintain accurate records in platforms like Cvent and Salesforce.
- Sustainability: Drive and implement sustainable practices across all events, helping the company stay at the forefront of the industry's commitment to sustainability.
Key Requirements
- Minimum of 2+ years of corporate events experience with a proven ability to manage events from conception to completion.
- Experience working directly with AV companies is essential.
- Proficiency in event management software (Cvent and Salesforce preferred).
- Passion and commitment to sustainability.
- Strong project management, negotiation and problem solving skills.
- Excellent verbal and written communication skills with the ability to manage professional relationships with internal and external stakeholders.
- Highly self-motivated and capable of working independently.
