Meeting Professionals International is currently looking for a Fulfillment Coordinator.  What is a Fulfillment Coordinator? Well they support our Sales team and work directly with our partners. Our Sales team secures the business (digital and social media, sponsorships, thought leadership and more) and the Fulfillment Coordinator ensures that whatever the Sales team sold becomes reality.

You’ll be working closely with the Sales team, reviewing the contracts they have created and making sure we fulfill our end of the bargain. That may mean working with our publishing department to make sure ad space on our blog is filled with that company’s ad. Or it may mean working with marketing to make sure their logos are on certain merchandise. Or maybe you will work with our event team to ensure a booth is reserved in a certain location of the next event. There is a lot of coordination that this role oversees.

The Fulfillment Coordinator interesting job to be sure. You’ll be working with a lot of people within MPI and the meeting and event industry to make sure things run smoothly. It can be fast paced, especially before a big event, but it can also be a lot of fun. The Fulfillment team is 3 people strong and this role really helps to support all they accomplish.

JOB TITLE: Fulfillment Coordinator

REPORTS TO: Director, Partner Fulfillment

PAY RANGE: $38,000 - $44,000


*MPI is currently closely monitoring Dallas County’s recommendations for a safe workplace during the pandemic. No official move to return staff to office has been made at this time. This role, while being an in-office role, is allowed to work remotely after the initial training period until MPI determines their next step.  Currently, office staff who choose to come in must wear a mask while in common areas of the building. Masks are not required when sitting at the desk. Frequent handwashing and disinfecting is expected and encouraged.


The Fulfillment Coordinator supports Meeting Professional International’s Sales team and Fulfillment department by providing key administrative assistance in all areas of MPI’s sales, but specializing in fulfillment of digital media advertising sales. This position will be responsible for various tasks related to fulfillment of media products & services, along with the daily operations and administration of the department.


  1. Leads Fulfillment Team in fulfilling client advertising campaigns, including but not limited to: post-event reports, quality checking projects, collecting proof of performance, etc. (30%)
  2. Responsible for collecting materials from advertisers and ad agencies for the purposes of fulfillment in MPI’s publication The Meeting Professional, website ads, digital advertising/marketing campaigns, and conference publications (including, but not limited to, advertorial content, advertising content, photos and logos) and all MPI digital channels (MPI website, Newsletters, Chapter Websites, etc.). (30%)
  3. Assist in live (in-person and digital) event fulfillment when needed; including but not limited to: adding logos to website, reaching out to clients pre- and post-event, preparing check-lists, etc. (20%)
  4. Collect and compile digital and print performance statistics and incorporate into client reports. (5%)
  5. Assist in inputting new/custom sponsorship and advertising inventory within Aptify. (5%)
  6. Responsible for periodically auditing data within Aptify and updating as needed. This would include the auditing of invoice corrections, typographical errors, duplicate records, etc. (5%)
  7. Assist in manually editing documents as directed in instances where corrections are not able to be made through the automated system (contracts, proposals, etc.). (5%)

Travel Required: 5%


  • Leads multiple departmental projects, as needed

  • Two or more years of administration support


  • Associate’s Degree in Business Administration or equivalent; two or more years related experience and/or training or equivalent combination of education and experience
