CONTRACT PHARMACEUTICAL MEETING PLANNER- 6 MONTH POSITION (Hybrid; in office, 2-3 days/week)
Certified WBE (Woman Business Enterprise) and SBE (Small Business Enterprise) located in Monmouth County, NJ is looking for a contract meeting planner. This is a great opportunity to work in an energetic office with supportive teammates and exciting projects.
o Support meeting manager with logistics related to venue/hotel/vendors for assigned projects
o Work closely with project manager/ coordinator to monitor registration process, rooming lists, attendee special requests, travel parameters, program materials, and shipping
o Assist in managing agenda/talking points for client planning calls.
o Assist in development of program agenda (internal /client)
o Ideate unique evening events, team building, Dine Arounds, activities, etc.
o Manage food and beverage; menu selections, guarantees, event orders, etc..
o Identify DMCs to request proposals for airport transfers, off-site activities, décor, entertainment
o Manage ground transportation requirements with local transportation company or DMC
o Prepare function space grid
o Coordinate with senior project manager for premium items, giveaway, swag, etc…
o Coordinate AV /production requirements, including equipment, floor plans, labor, etc.
o Prepare onsite Operations Manual
o Communicate and confirm master billing requirements with all relevant venues
o Assist with budget management for areas of responsibility including oversight of working budget
o Assist with processing payment request forms for costs related to the project
o Acute attention to detail and ability to manage multiple facets of the project simultaneously.
o Strong communication skills, with the ability to deliver clear and professional messages both written and verbal
o Familiarity with contracting, budget tracking, and compliance requirements.
o Proficient in Microsoft® Office Suite and event management software (Cvent)
o Comfortable working with Teams/Zoom meetings
o 5+ years of industry experience

- Must commit fully and exclusively to this position for the duration of the contract
- In office Mondays, Wednesday and Thursdays. Hybrid option for Tuesdays and Fridays (subject to manager approval)
